Effective and last updated September 25, 2026
The short version
We use your information to schedule and complete exterior services, document the work, communicate with you and process payments. We do not sell your personal information or use it for third-party advertising.
1. Who we are and what this policy covers
Collective Exteriors provides lawn care, window cleaning and handyman services in East Dallas, Texas. This policy explains how we handle information through our public website, customer portal, workforce and partner workspaces, and mobile app.
2. Information we collect
We collect information you provide, information created while delivering a service, and limited technical information needed to operate and protect the app.
- Account and contact details, including your name, email address, phone number, password credentials handled by our sign-in provider, and account-review status.
- Property and service details, including service addresses, access instructions, gate information, pets, requested work, preferred dates, schedules, agreements, quotes, messages and notes you send us.
- Visit records, including booking status, assigned crew, arrival and completion times, property walkthroughs, service reports, and before-and-after or issue photos.
- Payment and billing records, including invoices, payment status and transaction references. Card details are processed by our payment provider; we do not receive or store your complete card number.
- Crew location during an active visit or trip to a scheduled service address. This helps provide arrival information and verify service activity. We do not use the app to track a customer's device location.
- Device, network and security information, including network address, sign-in attempts, challenge results, notification device tokens and basic usage records used to operate the service and reduce fraud, spam and abuse.
3. How we use information
We use information to provide and improve the service you request.
- Create and protect accounts, review new registrations, confirm identity and prevent unauthorized access.
- Prepare quotes, schedule and perform visits, assign crews, coordinate routes, document completed work and provide customer support.
- Send booking confirmations, schedule updates, quotes, invoices, payment notices, service reports and account messages.
- Process payments, maintain billing records, manage recurring plans and meet business, tax, accounting and legal obligations.
- Investigate safety, quality, fraud and security concerns and enforce applicable agreements.
5. Role-based access and customer privacy
Customers can access only their own services, visits, quotes, photos, reports, messages and invoices. Customer accounts cannot access office tools, staff records, partner payouts, internal notes or business administration. Staff and invited partners receive only the workspace allowed for their assigned role.
6. Photos, reports and location
Property photos and service reports document site conditions and completed work. They may include visible areas of the service property. Crew location is collected only for active service operations such as directions, check-in, check-out and customer arrival updates. Access to private photos and reports is limited and shared through protected or time-limited links when appropriate.
7. Payments and recurring services
Payments are handled by a payment provider. We retain invoice totals, payment status, dates and provider references needed to manage your account. If you authorize a recurring plan or save a card, the payment provider may retain the payment method for future authorized charges under your service agreement.
8. Emails and notifications
We may send transactional emails and, with device permission, push notifications about account security, visits, crew arrival, quotes, invoices, payments and service reports. You can disable push notifications in your device settings. Essential account, safety, billing and service messages may still be sent by email.
9. How long we keep information
We keep account and service records while your account is active and for as long as reasonably needed for customer service, billing, dispute handling, safety, fraud prevention, accounting and legal obligations. Retention periods vary by record type. Unfinished sign-ups with no service, invoice or message activity may be removed automatically after 30 days.
10. How we protect information
We use access controls, role separation, account review, sign-in verification, rate limits and private file access to reduce unauthorized access. No online service can guarantee absolute security. Please use a unique password and contact us immediately if you believe your account has been misused.
11. Your choices and requests
You may ask to access, correct or delete your account information by emailing hello@collectiveexteriors.com. We may need to verify your identity before completing a request. Some billing, transaction, safety or legal records may need to be retained after an account is closed. You can also update account details in the portal where those controls are available.
12. Children
Our services and app are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child provided information to us, please contact us so we can review and remove it where appropriate.
13. Changes to this policy
We may update this policy as our services or legal requirements change. We will post the revised policy here and update the date at the top. Material changes may also be communicated through the app or by email when appropriate.
14. Contact us
Questions, privacy requests and account-deletion requests can be sent to hello@collectiveexteriors.com or 214-543-2787. Collective Exteriors serves East Dallas, Texas.
